We are seeking a proactive and detail-oriented Property Maintenance & Operations Coordinator to prepare all maintenance work orders and distribute work orders among technicians under the direction of the Maintenance Manager.

We are seeking a proactive and detail-oriented Property Maintenance & Operations Coordinator to prepare all maintenance work orders and distribute work orders among technicians under the direction of the Maintenance Manager. This role requires a blend of exceptional organizational skills, clear communication expertise, and the ability to manage complex workflows efficiently. The ideal candidate will have a proven track record of effectively coordinating maintenance, communicating with tenants, communicating with technicians and vendors, and managing financial tasks. Key responsibilities include the following: Process and bill all maintenance work orders, ensuring accuracy and timely invoices; Accurately charge tenants for billable maintenance tasks, adhering to lease agreements; Manage incoming maintenance requests, prioritizing tasks and ensuring timely resolution; Handle all maintenance-related calls and emails, providing professional and efficient responses; Proactively communicate with property owners to obtain approvals for maintenance tickets; Maintain detailed and up-to-date records of all maintenance activities; Act as a liaison between maintenance and external contractors; Coordinate with local city officials regarding rental inspections and code compliance; Coordinate and schedule maintenance appointments with external vendors; Effectively communicate with vendors to ensure clear instructions and timely service delivery; Serve as the primary point of contact for tenants regarding maintenance inquiries; Provide clear and empathetic communication in person and via email and phone; Resolve tenant maintenance issues efficiently and professionally. Additional responsibilities include: Perform other accurate and efficient data entry tasks; Calculate and bill technician mileage weekly; Assist in preparation of payroll; Maintain detailed financial records; Other tasks as assigned. High school/GED required plus a minimum of 2 years of experience working within property management companies required. Role also requires demonstrated knowledge of real estate investment principles; demonstrated knowledge of residential tenant management; demonstrated organizational, and communication skills; ability to self-start and adjust priorities often to meet all expected goals and objectives. Minimum of one year of prior experience in as many of the following software systems as possible: Buildium; Microsoft Office Suite; BambooHR; TSheets Time Tracking; QuickBooks.
